Solace Grove Behavioral Health, Inc. ("Solace Grove," "we," "our," or "us") is committed to protecting the privacy, confidentiality, and security of the information entrusted to us. This policy explains how information is collected, used, disclosed, stored, and protected when you interact with our website, contact us, request services, schedule appointments, participate in treatment, or otherwise engage with us. It applies to our website, telehealth services, communication platforms, scheduling systems, intake forms, text messaging, and other operations.

Our commitment

As a behavioral health organization, we recognize the sensitive nature of personal and health information, and maintain safeguards consistent with applicable federal and state privacy laws, including HIPAA where applicable.

Information we collect

We may collect personal information (name, date of birth, address, email, phone, emergency contact, insurance and payment details, and preferences); health information related to your care (mental health and substance use history, treatment goals, medical history, medications, assessments, and records); website information collected automatically (IP address, browser, device, pages viewed, dates/times, referring site); and communication information submitted through forms, email, calls, voicemail, SMS, telehealth, and the client portal.

How we use information

To schedule appointments, provide and coordinate care, conduct assessments, communicate about appointments, send reminders, respond to inquiries, process payments, improve and secure our services, and meet legal, regulatory, and licensing requirements.

HIPAA and Protected Health Information

Certain information may qualify as Protected Health Information ("PHI") under HIPAA. When acting as a covered provider, we safeguard PHI and use or disclose it only as permitted by law or authorized by you. Clients may receive a separate Notice of Privacy Practices.

SMS and electronic communications

If you voluntarily provide a mobile number and opt in, you may receive messages related to appointment reminders, scheduling, and administrative or care-related updates. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time, or HELP for assistance. SMS should not be used for emergencies or urgent clinical concerns.

Artificial intelligence and call technology

We may use AI-assisted communication tools, including virtual reception, call routing, transcription, and automated scheduling. Calls may be monitored, recorded, transcribed, summarized, or processed for operational, quality, scheduling, and service purposes. You are informed of these technologies during communications where applicable.

Third-party service providers

We use trusted providers for website hosting, scheduling (including our secure EHR portal, SimplePractice), telehealth, payments, analytics, support, and storage — with access only as needed to operate on our behalf. This strictly excludes SMS opt-in consent and phone data, which is never shared.

Information sharing

We do not sell personal information. We may disclose information with your authorization, to providers involved in your care, to comply with legal obligations, to prevent serious harm, to report abuse or neglect where required, to comply with court orders, or during permitted business transactions.

Security, retention & your rights

We use reasonable administrative, technical, and physical safeguards, though no system is completely secure. We retain information as required by law, licensing, and professional standards. Depending on applicable law, you may request access, corrections, restrictions, confidential communications, withdrawal of consent, or file a privacy complaint.

Children's privacy & external links

Our website is not directed to children under 13; information from minors is collected only in connection with services and appropriate guardian involvement. We are not responsible for the privacy practices of external sites we may link to.
